You sent the quote and never heard back. It probably wasn't the price.

WHERE IT LEAKS

None of this shows up on your P&L.

A group asks about a buyout, and the number gets made up on the spot because nobody has a standard.

The buyout gets priced to match a normal night, and you work the night for free.

A planner calls your minimum outrageous, and whoever answered the phone drops it to save the booking.

An inquiry sits until Thursday, and the party books the place that answered Monday afternoon.

A proposal goes out, nobody calls back, and the event lands somewhere else.

A deal dies, and the only reason anyone can give you is that it didn't work out.

Your team isn't bad at sales. They were never trained to sell.

Savvy Circle catches the leaks software can catch: the slow reply, the missed follow-up, the double-booked room. The Membership trains the person on the phone to hold your minimum and close the deal. I built group sales departments around these exact leaks, and this is that system, ready for your team this week.

INCLUDED IN BOTH PLANS

What your team runs on

One BEO, Three Views

What it does: You build the event once. The guest sees a clean version with their menu and timing. Your managers see the internal detail. The kitchen sees what it has to cook and when.

Why it matters: Every version of a BEO you retype by hand is a chance to send the wrong count to the line. One source, three audiences, no re-keying.

The Guest Portal

What it does: Your public inquiry form feeds a portal where the guest tracks their own event. When an inquiry lands, a draft reply is written for you. You edit it and send.

Why it matters: Speed to first response often decides who gets the booking. The party that waits two days calls the steakhouse down the street.

One Room List, No Surprises

What it does: Book a room that's already committed, or a twenty-top into a space holding a BEO, and a banner warns you before anything goes out. Group reservations and private events read from the same room list.

Why it matters: Nothing damages a relationship faster than moving a rehearsal dinner two days out. The system catches the overlap while you can still fix it quietly.

Sign From the Phone

What it does: The guest reviews the BEO and signs on their phone. The signature carries an IP address and a timestamp.

Why it matters: A verbal hold is not a booking. A signed BEO with a timestamp holds up when a party of forty shrinks to twelve on Friday afternoon.

Lost Revenue by Reason

What it does: The Revenue tab groups everything you lost by why you lost it, in dollars.

Why it matters: This is the number that changes a policy. If pricing cost you sixty thousand and date availability cost you eight, you know which meeting to call.

Location Switching

What it does: One login reaches every location you own. Switch from the sidebar and your pipeline, BEOs, and dashboard follow you.

Why it matters: You stop asking three managers to email you three reports on three different Mondays.

Off-Site Orders That Format Themselves

What it does: Choose an off-site or pick-up terms type and the room setup section swaps out for a Catering Event Order. Delivery address, pack requirements, and drop times replace table diagrams you don't need.

Why it matters: Off-site business dies on missing logistics. The form asks for the address and the drop window before the order leaves your hands.

Lost Reason Capture

What it does: When a deal dies, you log why before it leaves the pipeline. Admins control the reason list.

Why it matters: "We lost it" teaches you nothing. "We lost eleven events to minimum spend this quarter" tells you to go look at your minimum.

Kitchen Prep Aggregation

What it does: Pick a date range and see every menu item committed across every event inside it. Export a pack sheet for the kitchen.

Why it matters: Your chef orders against committed covers instead of a guess. Fewer emergency runs, less waste, and no Saturday where you're forty filets short.

Access That Matches the Job

What it does: Invite your team per location as admin, seller, or view-only. Unlimited logins.

Why it matters: Your GM needs visibility. Your part-time coordinator does not need the revenue report.

Set the List Your Way

What it does: Admins edit the event types and lost reasons your team picks from.

Why it matters: Reports work only when everyone chooses from the same list.

The Sales Dashboard

What it does: Conversion funnel, forecast against prior year, percentage of time spent in business development, activity scorecard, trend charts, and a written insight banner that reads your numbers back to you.

Why it matters: You find out whether your problem is lead volume, conversion, or follow-through.

Targets You Set

What it does: Set your own goal for business development time, conversion rate, and post-event contact.

Why it matters: A benchmark built for a $12M steakhouse means nothing to a $3M neighborhood spot.

Proposals That Show the Real Number

What it does: Tax, service fees, and gratuity roll into the total your guest sees.

Why it matters: Sticker shock at the final invoice costs you repeat business.

Follow-Up Reminders

What it does: A daily email tells you which events need attention today.

Why it matters: Private dining revenue leaks in the gap between the inquiry and the second touch.

Email That Comes From You

What it does: BEOs, proposals, and team invites send from a verified branded domain.

Why it matters: Guest-facing mail that lands in a spam folder costs you bookings you never hear about.

Floor Plan Builder

Lay out the room, check capacity, and export a PDF for the team.

F&B Minimum Calculator

Work out food and beverage minimums you can defend.

KPI Tracker

WHAT THE MEMBERSHIP ADDS

Training & Coaching

Log in, build a BEO, hope your team figures out the rest. That's what most platforms leave you with. The Membership trains your team while they use it, on a rhythm that repeats every month.

Restaurant team gathered for a pre-shift meeting.

MONTHLY RHYTHM

THE 1ST

A new topic drops: a training video plus a workbook or template your team uses that week.

WEEK 2

Topic Q&A: bring your questions on this month's lesson and get them answered live.

WEEK 3

Coaching call: your team brings a real booking, contract, or pricing problem and works it live with Kelly.

EVERY QUARTER

Sales review: look at the numbers and set the plan for the next quarter.

Every session is recorded and saved in your Training library.

This conversation just added a quarter million dollars to my revenue.

A New Topic Every Month

The first six topics follow the way a private dining program actually runs: protect the booking, fill the pipeline, price it right, measure what matters, grow the check, market for more. Then it keeps going, a new topic every month. The library keeps growing, so a new hire can start at the beginning and catch up. It works the same whether you're running one location or five. The skills don't change size, only the number of people who need them.

The Part That Changes Who You Can Hire

Hire someone trainable and let the curriculum and the calls do the rest. An "experienced" hire who was never trained on your systems still has to learn your job on shift while you hold your breath. The Membership hands your new hire a curriculum and a coach from their first week.

Kelly Palubiak, founder of Savvy Sales Academy.
Annual members also get a monthly VIP call: a smaller group and more time on your specific questions.

This is what the Membership adds: a coach for the person taking your bookings.

BUILT BY SOMEONE WHO'S RUN THE ROOM

I'm Kelly Palubiak. I built group sales from scratch at Saltgrass Steak House and grew it 46%, then 60%, in back-to-back years. On a consulting engagement with a two-location Bob's Steak & Chop House group in San Antonio and Austin, I worked inside the restaurants to build their private events program. At the San Antonio location, private events grew from $500K to $720K, 44% year over year. And I took WD Deli, a 30-year-old San Antonio deli, from $550K to over $1.2M in total revenue in a single year as the owner running the program myself. I've worked in restaurants since 2008. I'm based in St. Louis and work with restaurants nationwide.

I've priced the rooms and chased the signed contracts. Savvy Circle is the system I used, now built into software your team can start using today.

WHO THIS IS FOR

Built for operators done treating private dining like a bonus.

This is you if

  • You're the GM or events lead who owns private dining on top of nine other jobs
  • You're running private dining out of your inbox, a spreadsheet, and a binder
  • You're running a single location doing $2.5M or more, or a group of 2–15, booking real event volume, and your systems haven't kept pace with your growth
  • Every quote is a fresh guess: the same BEO, the same pricing conversation, the same follow-up, built from scratch every time
  • You want your team running one process instead of five different habits
  • Catering and events come in on their own, and nobody on your team goes out to get more
  • You or your manager spend half the day on event calls, and the follow-up happens when someone remembers

This might not be your moment if

You're not booking private events yet. Get your first few on the books, then come back. Savvy Circle works best once there's volume to systematize.

QUESTIONS ANSWERED

Frequently asked

What is Savvy Circle?

Savvy Circle is private dining and group sales software, with an optional Membership that adds monthly training and live coaching from Kelly Palubiak. Software gives your team the system: an event pipeline, BEO builder, guest portal, e-signature contracts, floor plans, reporting, and multi-location team management. The Membership adds the coach. You can move from Software to the Membership anytime.

What do annual members get?

The annual price, plus a monthly VIP call with a smaller group and more time on your specific questions.

What does founding enrollment mean?

Founding rate available through December 31, 2026. Founding members get the Membership for $197/month or $1,997/year for their first 12 months, the same price as Software. You get access right away and help shape what ships next.

Is the software finished?

The core tools are live today, and every live call and the training library are active from day one. Online payments, the prospect finder, and the members community launch November 1. Until then, deposits are tracked inside each BEO. Founding members' feedback decides what gets refined first. If something isn't working, you tell me directly and it goes to the top of the list.

How long does setup take? We're slammed with the holidays.

One 45-minute Kickoff Audit. We do it together on a call, and you walk away with your minimum, your terms and your follow-up list set. That's exactly why the holidays are the time: every party you quote this month either holds your number or it doesn't.

We only do a few events a month. Are we too small?

Small is where one mistake hurts the most. If you book even two groups or catering orders a month, one held minimum or one saved no-show covers the membership. If you truly don't take groups or catering, Circle isn't a fit, and I'll tell you that straight.

Will this make us sound like a chain?

No. Your menu, your voice and your personality stay yours. Circle just makes the number, the terms and the follow-up the same every time, no matter who answers the phone.

I need to run this by my partner.

Good, you should. Bring them to a 20-minute call and we'll run your last buyout together so they see the math.

Who else is using Savvy Circle?

You'd be one of the first. Founding enrollment opened in October 2026, so your email comes straight to me, your feedback decides what ships next, and on the Membership I coach your team live every month.

What happens when my team gets stuck on something?

On the Membership, you bring it to a live group call and work the actual deal with Kelly. On Software, you get email support with a response within 2 business days.

How much does Savvy Circle cost?

Software is $197/month or $1,997/year. Founding Membership is $197/month or $1,997/year, available through December 31, 2026. Your first location is included, and each additional location is $97/month flat. Software includes unlimited logins at every location. Membership includes training for one person, you or your sales lead. Additional training seats are $147/mo.

I already use Tripleseat or another events platform. Do I still need this?

Tripleseat and platforms like it organize your inquiries. Savvy Circle organizes them too, and the Membership trains the person answering them: a live coaching call with Kelly every month on your actual deals, a new training topic, and a quarterly sales review. If your current platform has never helped you hold a minimum or close a stuck deal, book a demo and compare them side by side before you renew.

We run private dining out of email and a spreadsheet. Is this overkill?

No. That's who Savvy Circle was built for first. If your team can send an email, they can run it, and you can upload your menu and have it built into the system for you. Founding members who join in October also get a 45-minute Kickoff Audit where Kelly sets up the software with you.

Do doors ever close?

No. Savvy Circle enrollment stays open. The founding rate is available through December 31, 2026. After that, new members join at the standard price.

What if I cancel?

Cancel anytime from Manage billing in your account settings. No contract, no cancellation fee. Annual plans include a 14-day full refund on your first purchase. Monthly plans are non-refundable.
